The first question: what do you need to recover?
“Make me a copy and put it on the new laptop.” Before choosing software, clarify what the person expects: working with the same files on two computers, keeping an earlier version, or transferring selected folders. Try using AI to turn that conversation into questions for review. The exercise produces a draft job brief, not a completed backup or permission to erase anything.
Ask a concrete question: “If you accidentally change or delete a document tomorrow, what would you need to recover, and from which point in time?” Then specify the folders, their intended destination and who checks the result. This guide prepares that conversation in a computer repair workshop; it does not provide instructions to copy, sync, format or recover drives.
The word “backup” does not establish how data is protected
Microsoft documents a folder backup feature in OneDrive. It also explains that deleting an online-only synced file removes it from devices and the cloud. Asking whether something is “in the cloud” is therefore insufficient: the actual service, configuration and applicable recovery options need checking. An intake form cannot replace that technical assessment.
INCIBE includes scope, frequency, retention and restoration tests in backup procedures. Use this as a reminder of the questions still needed for the brief. Do not turn “I have OneDrive” or “I brought a drive” into “a backup has been checked”. A service name alone does not establish that a file is recoverable.
A fictional case: three sentences expressing different needs
These notes were invented for this exercise. They do not come from a customer or describe inspected computers. A: “I want my work folders on the new laptop and to keep editing on both computers.” B: “If I accidentally delete something next week, I want to recover today’s version.” C: “Once everything is done, empty the old computer. Do not delete anything for now.”
The table is our manually written reference, prepared before trying an assistant; it is not an observed AI response. Keep all three notes and their conditions together. The technician must clarify the scope and check the actual system before proposing a solution.
| Source | Expressed need | Still to clarify |
|---|---|---|
| A | Work files accessible and editable on two computers | Which folders and computers, and how changes will be handled; no checked configuration is recorded. |
| B | Recover today’s state after a future deletion | Which files, retention period and agreed restoration check; no existing backup is recorded. |
| C | Future request to empty the old computer, with a current instruction not to delete | Preserve “do not delete now”. Clarify conditions and obtain specific authorization before any later action. |
| Combined A–C | Several needs within one conversation | Do not treat them as one task already authorized. Scope, technical proposal, acceptance and checks remain outstanding. |
From the counter to a brief the technician can review
First retain the exact request, its date and source. Use fictional text only in the trial: no files, passwords, accounts or actual folder names are needed. Separate four fields: requested by the person, reported about the computer, checked by the technician, and authorized for action. Explicitly mark missing checks or permissions as pending.
Next prepare questions for a conversation: which folders does “everything” include? Is an earlier version needed, or only access to the current file? For how long? Which check and responsible person will be agreed? AI is a proposed aid for drafting those questions, but its usefulness and errors need testing; no assistant has been evaluated here.
Imagine clarification D: “For now, only Documents; not the photos.” Add it as proposed scope and retain the earlier notes. Ask whether that restriction also applies to the backup requested in B. Do not turn it into evidence that Documents was copied, permission to delete Photos, or automatic cancellation of the recovery requirement.
After that conversation, the professional prepares the technical proposal and acceptance criterion. Any copying, configuration or restoration check belongs to that separate, authorized work. The administrative summary stays a draft until reviewed; it cannot mark a transfer or restoration as completed.
An instruction to try with the invented notes
Paste only the example’s notes A, B and C, plus D if you want to test the partial clarification. Compare the draft against the table and the instruction not to delete. This prompt neither checks files nor determines which solution is suitable.
Document-only trial prompt; no data access or execution: Help with intake at a computer repair workshop. Use only the attached fictional notes. Separate needs for access on two computers, retention of a version, and transfer; allow several simultaneous needs. Cite each detail’s source note and distinguish requested, reported, checked and authorized. Mark missing details as pending. Preserve exact conditions, exclusions and the instruction not to delete now. If D is present, ask which needs it changes before extending its scope. Draft questions about folders, the state to recover, retention and the acceptance check. Do not invent backups, permissions, configurations or completed operations. Do not generate commands, access accounts, copy, delete, sync or change statuses. Produce a draft for the technician to review.
Errors that invalidate a convincing draft
Check attribution and verbs, not just whether the text looks tidy. A recovery requirement expresses an expectation; it does not establish that the available equipment or service can fulfil it.
- “B confirms an existing backup”: incorrect. B requests recovery of a state; it does not report a completed or checked backup.
- “Sync also fulfils B”: unsupported conclusion. Actual options and required retention need assessment; note A does not establish version recovery.
- “C authorizes formatting afterwards”: this omits the current instruction not to delete and adds a specific operation not agreed. Keep the future request and its condition pending.
- “D excludes photos from every backup”: this extends a clarification whose scope needs confirmation. Do not apply a partial decision to every need.
- “Drive received, backup verified”: this confuses physical receipt with checking. AI has not inspected the drive or restored anything in this exercise.
A measurable pilot before connecting job records
Create several invented conversations with simultaneous needs, exclusions and a partial clarification. Write the human reference first: open questions, conditions to preserve and statuses that cannot be asserted. Compare every draft with that reference.
Record invented permissions, operations assumed complete, omitted questions and incorrectly applied scope changes. Note review time and technician corrections. These are proposed metrics: we have not run the pilot or measured savings or accuracy. If the assistant turns wishes into facts, correct the workflow before considering a connection.
For real documents, check permissions, service terms, access and data minimisation. Do not paste personal or business material without appropriate conditions. Keep passwords and recovery material out of this trial.
When a form is enough and when to assess custom development
The manual trial produces reviewed text outside backup tools. Automation requires agreement on which job record it may read, how it preserves sources and versions, who reviews the questions and who changes each status. Compatibility with repair, storage or backup software is not established here.
A limited first development could prepare an internal record of requirements and outstanding questions, keeping technical operations and authorization under the workshop’s control. If a shared form already solves the problem, use it to test the process before connecting systems.
