Size 90 for which machine? AI for needle enquiries

Trial AI in a sewing-machine workshop to separate needle system, type and size. Fictional two-machine case, prompt and professional review before selection.

“Size 90 needles, please” still leaves a decision open

A customer asks for needles for two machines: a domestic sewing machine and an overlocker. They want “size 90” for both. Before preparing a replacement, the workshop needs to keep the information for each machine separate. A shared size does not identify the required needle system on its own. AI should not fill that gap with a recommendation from memory.

This guide proposes a trial of an assistant as a document helper: organise the enquiry, preserve references and draft the missing questions. It includes two fictional machines, a review table and a prompt. Needle selection, diagnosis and any work on the machine remain the professional’s responsibility.

System, type and size: three fields, not a shortened reference

SCHMETZ distinguishes these concepts in its packaging guide: 130/705 H identifies a system; Universal is a type; 80/12 and 90/14 are size designations. Copying only “90” removes information. Keep letters and suffixes in a complete reference when preparing an enquiry.

Its overlock documentation warns that some models require a specific system and points to the machine’s instructions. Neither “domestic” nor “overlocker” replaces identification of the model and its documentation. This guide does not provide a universal compatibility chart.

  • Create one record per machine: internal ID, transcribed make and model, the source of those details and any manufacturer document checked. The trial does not need the customer’s name, phone number or address.
  • Keep the request, the complete text on the previous packet and the candidate reference separate. A packet brought in by a customer is a reported clue, not proof that its previous use was correct.
  • Distinguish what is readable from what remains unresolved: mark a blurred character as illegible; do not complete a needle family by resemblance. The record must let the reviewer return to the original.

Fictional exercise: one candidate packet, two machines

All the following records are invented for practice; they do not describe real models, manuals, customers or stock. A: “Domestic sewing machine A; model pending; customer requests 90/14 and supplies a previous packet labelled 130/705 H, Universal, 80/12”. B: “Overlocker B; model pending; requests 90/14; system not provided”. C, practice candidate: “130/705 H, Universal, 90/14”. No manual has been supplied for either A or B.

The table is an authored reference for reviewing the exercise, not output obtained from AI. It distinguishes matching text from technical approval.

Manual reference for the fictional exercise
RecordWhat is providedWhat remains unresolved
A: previous packetStates 130/705 H, Universal, 80/12. The request says 90/14.C retains the system and type written on the packet but changes the size. Model, documentation and professional selection still need checking.
B: overlockerRequest says 90/14; no system is provided.Do not assign A’s system or infer one from the word overlocker. Request the model and documentation.
C: candidateStates 130/705 H, Universal, 90/14.Matches the requested size in both notes; that does not establish suitability for either machine.
Commercial outputThe exercise contains no professional selection or approved order.Prepare internal questions; do not confirm compatibility, availability, price or a purchase.

The draft should return to the counter with specific questions

First, transcribe readable information and assign each fragment to A, B or C. Then compare like fields: system with system, type with type and size with size. Keep the customer’s request separate from anything the professional has validated. Review the output against the notes before using it.

For A, the next question is the exact model and the documentation supporting selection; the old packet does not complete that check. B also lacks its system: request identification and the relevant instruction page, without automatically suggesting ELx705 or copying 130/705 H from A.

A valid internal draft for this exercise would be: “A: requested size 90/14; previous packet 130/705 H Universal 80/12; model and documentation pending. B: requested size 90/14; model and system pending. C remains an unvalidated candidate. Do not prepare an order before professional selection”. This is neither a sent message nor a recommendation for use.

A practice prompt that keeps the assistant out of mechanical decisions

Copy only the fictional A, B and C records above alongside this instruction. Review whatever response you receive: the prompt sets the trial’s objective; it does not demonstrate that a tool meets it.

Test the errors a fluent response can hide

Before judging the prose, check whether the assistant merged the enquiries or turned missing information into certainty. The record is for reviewing information, not declaring that a needle fits, will fix skipped stitches or proves a machine fault. Do not try a replacement to settle a documentary uncertainty.

  • If it calls “90/14” the system, it has confused fields. Correct the classification using primary documentation and retain the failure for trial evaluation.
  • If it recommends C for B because both notes say 90/14, it has skipped identification and system checks. Recommending it for A on the basis of the used packet also exceeds the evidence.
  • If letters are missing in an image, reject a reconstructed reference. Request a transcription or readable document through the authorised channel; do not treat the packet’s appearance as verification.
  • When clarification about B arrives, update B with its source and date and preserve history. Do not apply it to A or turn a partial answer into complete approval.

A pilot that measures review quality, not mechanical safety

Start with a small set of invented enquiries prepared by the workshop. Include two machines in one message, an absent system, an illegible suffix and a later correction affecting just one record. The professional first prepares the expected reference: details to preserve, necessary questions and claims that cannot be supported.

Record how many outputs mix machines, omit a reference, complete a character or recommend without evidence; also note review time and corrections needed. These are proposed metrics, not measured results. If the draft does not help the professional or keeps selecting replacements, revise the workflow before connecting it to orders.

Use fictional data only for this first trial. Before using real information, check permissions, service terms and document access; remove unnecessary personal details. This guide does not name a particular assistant or establish its privacy or performance.

A manual trial does not connect the shop or approve purchases

The manual trial means preparing and reviewing a draft outside the ordering system. Automation would require defining where records come from, how versions are preserved, which fields are allowed and who approves selection. Any proposed connection to a catalogue or workshop application needs its actual capabilities and permissions checked: no software compatibility is established here.

An initial custom scope could be limited to internal records and outstanding questions, preserving sources and keeping human approval separate from orders. It can be evaluated without sending messages, making purchases or modifying a catalogue. If a reviewed spreadsheet solves the problem, start there.
