Ready to collect? AI for pottery studio records

Trial an AI pottery tracking sheet: partial collections, notifications and unconfirmed dates. A fictional example with staff review.

Equipo Adaris Tech~8 min

One ready piece does not make the whole order ready

Before replying “you can come now”, separate three questions: which piece studio staff have confirmed, which notification has been sent, and what has actually been handed over. An estimated firing date confirms none of these. When an order contains several pieces, check them individually before summarising its status.

This guide proposes an assistant trial using a fictional pottery record: a ready bowl, a pending mug and a collected plate. We will prepare a tracking sheet and draft reply, without programming kilns or deciding whether work is suitable for use. The reference tables and replies are written by hand; they are not AI trial results and demonstrate no savings or accuracy.

First decide which record is authoritative

If studio staff currently update a shared sheet and can reply directly from it, that is a reasonable alternative. AI may warrant a trial when notes need interpreting, but it needs the same reliable record. Organising messages does not replace staff checking the actual work.

Pages consulted on 23 October 2026 show different collection arrangements: Nossa Cerámica says it emails when pieces are ready; Pizco also ties collection to its notification. Agarimo publishes pictures of finished pieces and explains that some work is grouped for firing. These are those studios’ instructions, not deadlines or policies to copy into yours. We have not tested their systems.

  • Order and piece: an order reference plus an internal reference for each piece. Keep the studio description; do not automatically identify pieces by visual similarity in a photo.
  • Physical confirmation: status recorded by the responsible staff member, source and time of the entry. If two notes conflict, retain both and request clarification.
  • Communication: distinguish a draft, approval to notify and a sending record. Prepared text does not establish that anyone received it.
  • Handover: references for the pieces collected and the studio receipt. A partial collection does not close the remaining pieces or prove payment.

CE-17: the bowl, mug and plate move at different speeds

Everything below is invented: order, pieces, notes and receipt. There are no attached photos or documents. R0, initial order sheet CE-17: A = bowl; B = mug; C = plate. P0, earlier studio estimate: “We will try to have the order ready for Friday; this is not a confirmed date”.

T1, a later entry by the responsible staff member: “CE-17/A: checked and ready for collection. CE-17/B: awaiting glazing; no confirmed date. CE-17/C: checked and ready for collection”. A1, communication record: “Notification for A and C approved as a draft; sending not recorded”. E1, a later studio receipt: “Only CE-17/C handed over”. There is no other confirmation or payment record.

The manual reference keeps each fact in its own field. C’s receipt does not establish how its collection was communicated: a handover can be recorded while the notification record is missing. Do not fill that gap to make the story look consistent.

A useful reply without turning Friday into a promise

Suppose another fictional enquiry arrives: “Can I collect everything now?”. The manually written reference draft would be: “Bowl A is recorded as ready for collection. Mug B is still awaiting glazing and we have no confirmed date. Plate C is recorded as collected. Before you come, we will confirm the pieces and the studio’s collection hours with you”. This is a draft for review, not a sent message or agreed appointment.

Do not add opening hours missing from the notes. Do not say “we notified you” based on A1: only a draft was approved there. P0 remains an earlier estimate, without replacing B’s later status or becoming a new deadline. Staff must first confirm any updated estimate they wish to communicate.

Before using the text, a person checks that A remains available, E1 refers to C and the collection arrangements still apply. AI does not validate identity, collection authority, payments, quality, safe use or technical acceptance. Do not send the draft from this exercise.

Try this instruction using only the fictional notes

Copy R0, P0, T1, A1 and E1 from the example alongside this instruction. No customer information needs attaching. If you choose Claude, its documentation warns that it can produce incorrect content or text inconsistent with the context, and recommends allowing uncertainty. This warning does not prove this exercise works or validate other assistants.

“Use only these fictional notes. Prepare a sheet by piece reference with physical status, communication, handover and the source for every fact. Keep earlier records without confusing them with the latest applicable fact in the same field. Do not infer sending, payment, identity or authority. Do not extend E1 to the whole order. P0 is an unconfirmed estimate. If a fact is missing or there is a contradiction, state what studio staff need to check. Then draft a provisional reply to ‘Can I collect everything now?’, without promising a date or opening hours, and without sending it. Do not decide firing settings or suitability of the work”.

Compare the output against the manual sheet. It must keep B pending, C collected and sending unrecorded. Reject a draft that marks all CE-17 as handed over, considers B finished or invents a notification: a tidy table does not compensate for a wrong status.

Change one note and find where the sheet breaks

For a second fictional pass, remove E1: C must no longer appear collected, instead reverting to “ready according to T1; no collection recorded”. Keep everything else. Then restore the original case and add T2: “CE-17/A: hold in studio, awaiting review; do not offer collection”. A must retain T1 as history and show the later hold; the earlier reply draft is no longer usable. T2 does not by itself change B or C.

If a note says only “everything is done” without identifying an order, pieces or responsible person, do not assign it. Ask for those details and retain the previous statuses as information awaiting an update. Do not resolve ambiguity by looking at pottery colour or estimating normal kiln time.

  • Check every row and its sources, including plausible ones. Look for an order closed by partial collection and assumed notifications.
  • Record unsupported changes, omitted pieces, necessary questions and human corrections. These are pilot measures, not results we have obtained.
  • Compare the entire preparation, review and correction time with using the sheet directly. If you must reconstruct the record, retain the sheet as your method and reconsider the trial.

When to discuss custom tracking with Adaris

A manual assistant trial means copying fictional data, reading its draft and correcting it without letting it act on the studio. Connecting automation would require assessing formats, permissions, piece references, change history and who confirms each transition. Do not assume compatibility with your software, email, messaging or booking system.

An initial scope to discuss with Adaris is assessing a record of pieces by order, partial collections and drafts requiring human approval. Sources, access, acceptance criteria, export and a quote would need agreement before development or integration. This is not an existing Adaris pottery tool. Automatic sending and kiln control are outside this initial proposal.

Keep trial examples fictional. Before using real business or personal data or actual messages, check permission and suitable access, use and retention conditions. To explain your case, describe the process without customer names or real documents. Adaris provides commercial support in Spanish.
