The sofa appears twice; that does not establish there are two
A fictional survey note says “living-room sofa”. A later note says “the grey sofa is coming too”. Is that another item or a clarification of the first? Those words do not settle the count. The AI task you can trial is flagging the possible match, preserving both references and drafting a question. It must neither add two nor delete a mention on its own.
Another mistake is different: “six kitchen boxes, two of them containing books” describes six boxes, not eight. The contents of a box are not an additional package. This guide offers an exercise for a removals company: turn scattered notes into a draft inventory a person can check. It does not calculate cubic metres, prices or truck capacity.
Decide what each row represents first
Keep a furniture item, its prepared transport packages and their contents distinct. A table may end up in several packages; the team checks how many and how they are identified. Keep the relationship between those packages and the table rather than treating every part as another piece of furniture.
iContainers recommends connecting each inventory entry with an identifiable package or item. Its guide concerns international moves: we borrow only that identification principle, without applying customs requirements to a domestic move. For this trial, prepare these fields on paper or in a shared spreadsheet:
- Fictional move reference and reference for each original note. Keep different moves separate even when their furniture sounds similar.
- Item or package ID, description, origin room and destination room. An unknown destination remains pending.
- Declared quantity and whether it is exact, approximate or unknown. “Several boxes” must not become a number.
- Contents within a package, possible matches and explicitly excluded items, each in its own field.
- Reported condition or fragility and pending review. A description does not establish physical condition or determine packing methods.
- Record status: draft, checked before loading or checked at delivery, with a responsible person and date. Define these states; AI cannot establish that the checks happened.
Try these invented notes before using a job
Fictional case MOVE-027, with no real names, addresses or photographs. Note A: “Living room: one sofa; goes to the new living room”. Note B: “The grey sofa is coming too; the floor lamp stays”. Note C: “Kitchen: six boxes, two of them containing books; destination to confirm”. Note D: “Dining table with legs separated; we have not counted the packages yet”.
The professional writes the reference interpretation first. This lets you compare the assistant’s answer with something other than its own wording. A cautious draft would look like this:
| Notes | What to retain | Question or check needed |
|---|---|---|
| A and B | Two sofa mentions; possible match unresolved | Is it the same sofa? Do not finalise the combined quantity |
| B | Floor lamp excluded from the move | Keep in exclusions; do not transfer to the loading list |
| C | Six declared boxes; books inside two of them | Do not add up to eight; confirm destination and physical count |
| D | One table described; number of packages unknown | Link the parts to the table after the team checks them |
A prompt that organises notes without inventing a count
“Organise the fictional MOVE-027 notes pasted below. Return a table with note reference, literal description, record type —furniture, package, contents or exclusion—, declared quantity, origin, destination and open question. Distinguish contents from containers. Flag possible duplicates, but do not merge or delete rows without confirmation. Keep approximate quantities approximate and write unknown for missing information. Do not estimate volume, weight, dimensions, price or transport resources. Do not mark anything loaded, delivered or accepted when it is only described. End with short questions for review. Notes: [paste A, B, C and D from the example].”
Compare the output phrase by phrase with the notes. A useful draft question could be: “Is the grey sofa in B the living-room sofa in A, or another item? Which room should the six boxes go to? How many table packages has the team identified?” Nothing needs to be sent automatically: review the questions and use the agreed channel when appropriate.
A prepared list does not establish what has been loaded
Keep a copy of the checked inventory before loading. If a package is added, retain its identification and the change without deleting the earlier list. At loading and delivery, the responsible people check packages against that reference and record differences. AI may help organise incident notes; it must not fill in checks nobody has performed.
Avoid one “total objects” count mixing sealed boxes, their contents and dismantled furniture. If a count is needed, define its unit and use reviewed records. An unresolved sofa identity is not settled by asking for a neater table. This exercise does not replace service documentation or establish customer acceptance.
Photos, lifts and volume: keep the professional assessment
A photo may hide things behind furniture, show the same item from another angle or fail to reveal a box’s contents. Fictional text is enough for this first trial. Do not attribute measurements or inspections to an assistant that has not performed them, or treat an image as proof an item fits through a stairwell.
Grupo Mudanzas asks separately for floor and lift information at origin and destination. That distinction helps organise survey questions; it does not establish that access is suitable. Measurements, protection, dismantling, handling, vehicles and staffing require professional assessment. Keep access questions separate from package counts and leave their resolution to the person organising the job.
An orderly spreadsheet, a manual assistant or a custom connection
If nobody uses box references, start by agreeing them: an assistant cannot by itself fix an unidentified inventory. When information is already structured, a shared spreadsheet may suffice. A manual trial makes sense when you want to test whether it helps read varied notes and locate questions before entering the record.
Sector software also exists. MOVIN Business advertises inventories linked to moves and volume functions; its page also presents photo-based inventories through MOVIN Vision. These are the provider’s descriptions, not our test of accuracy, savings or compatibility. You do not need that scope to trial organising notes.
If copying between systems is the bottleneck, Adaris can assess custom software or an integration: for example, importing one authorised spreadsheet into an internal review queue with references, possible matches and human review. Available exports or APIs, permissions, owners, traceability and recovery would need checking. The definitive inventory would be updated only after the agreed validation. This is a proposal to assess case by case, not an existing Adaris removals product.
Measure the mistakes a convincing table can hide too
Prepare a small set of fictional notes: the same sofa mentioned twice, two distinct sofas in different rooms, approximate quantities, an exclusion, boxes with contents and a table split into packages. Write down what must be preserved and what cannot be known for each case. Compare organising the notes manually with reviewing them after using the assistant.
For each case record omitted items, duplicate counts, distinct items merged, invented quantities, exclusions mistakenly moved onto the loading list and questions detected. Measure total time, including review and corrections. For this pilot, an invented quantity or an unchecked loading status means rejecting that output and reviewing the procedure. This is not a guarantee of future results.
Use the comparison to decide whether to improve the spreadsheet, try another manual trial or develop a specific step. The first measurable objective is a draft whose rows can be traced to their notes and which preserves unknowns, rather than an automatic quote.
A home inventory needs privacy too
Use only fictional notes and business information in the trial. Do not upload conversations, addresses, photographs inside homes or real lists of belongings without permission and appropriate terms. Acelera pyme recommends checking privacy conditions and reviewing generated content before use.
Before connecting real data, agree what information is needed, who may see it, how long it is retained and how to correct or remove it. Keep originals in the business system. An assistant’s history does not replace the reviewed move record.
