The pattern looks familiar; the order details still disagree
You want to enquire about two extra rolls for a job. The offer repeats the reference you recorded, but changes the batch and says “straight match” where your saved label says “drop match”. A similar-looking pattern does not resolve those differences. Before accepting the order details, you need an enquiry that shows them without guessing corrections.
This guide proposes trialling a text assistant to prepare that enquiry. It includes a worksheet, a fictional case with a later correction and a manually written reference for checking the response. We have not run the pilot or measured results. AI will not calculate rolls, certify colour from a photograph or authorise purchasing or hanging.
Reference, colour, batch and match: four separate fields
Arthouse says the batch code appears on the label and recommends contacting the seller when more rolls from a particular batch are needed. Rifle Paper Co. distinguishes straight and drop matching in its pattern explanation and says each print run receives a lot number. These are those brands’ instructions, not approval of your material.
I Love Wallpaper asks for the product code and batch when enquiring about a reorder; it warns that the requested batch may be unavailable. That policy helps explain what to ask that seller. It does not establish stock today or guarantee another supplier’s service.
In your worksheet, preserve the reference and colour variant as written, the complete batch and the literal match notation. If a label contains two figures, copy their order, separator and unit. Do not automatically treat a notation such as “64/32 cm” as division or reduce it to “64 cm”. Check its meaning against the model’s documentation.
- Source: which roll label, which product sheet or which dated offer. A sales note must not silently replace a label.
- Intended destination: identify the job and wall with fictional codes during the trial. Keep offers for separate jobs apart.
- Status: requested, offered, clarified or accepted by the responsible person. Separate a statement of stock from a confirmed reservation.
- Missing information: request a readable photo or documentary confirmation; do not borrow a batch from another row.
A case where matching one field is not enough
All codes, quantities and texts below are invented. They do not describe real products or provide hanging instructions. F0 is the trial worksheet for job E-12: enquire about two extra rolls for wall P-1, retaining the reference, colour and batch on saved label E1. The quantity is supplied as exercise data, not calculated material requirements.
E1 was transcribed by a person and reads “GP-042 · colour 07 · batch B018 · salteado 64/32 cm”. O1 and O2 are separate offers from the fictional supplier. No order has been accepted and nothing is reserved. Here, the Spanish source wording is retained: “salteado” means drop match and “recto” means straight match. Keep these documents separate:
| Document | Reference / colour | Batch | Match wording and declared status |
|---|---|---|---|
| E1 · saved label | GP-042 / 07 | B018 | Salteado 64/32 cm; reference transcription |
| O1 · initial offer | GP-042 / 07 | B081 | Recto 64 cm; states two rolls available, not reserved |
| O2 · alternative | GP-042 / 70 | B018 | Salteado 64/32 cm; availability not supplied |
A useful enquiry keeps both discrepancies visible
Manually written reference, not the result of an AI trial: O1 matches E1 in reference and colour, but states B081 instead of B018 and “recto 64 cm” instead of “salteado 64/32 cm”. B081 and B018 remain different codes even though they share letters and digits. There is no basis for treating that as a typo or declaring those rolls suitable for P-1.
O2 retains E1’s batch and match notation, but its colour is 70, not 07. Matching a batch does not make that alternative the requested variant. Availability is still unspecified. Do not choose O2 to close the job or add offers together as though they were one delivery.
Editor-written enquiry draft: “For job E-12, label E1 states GP-042, colour 07, batch B018 and salteado 64/32 cm. O1 states batch B081 and recto 64 cm: can you confirm both details with documentation and whether you can supply the requested reference/colour/batch? O2 states colour 70: is that a different alternative or an error for you to correct? We are not confirming an order or substitution.” This is a draft to review, not an automatically sent message.
Try this instruction with the fictional documents
Paste F0, E1, O1 and O2 alongside the following instruction into a text assistant you have authorised for the task. Anthropic’s documentation recommends allowing the assistant to admit uncertainty and asking for citations so claims can be checked. This is a review practice, not a guarantee that it will follow this exercise.
“Prepare a document comparison for job E-12 using only F0, E1, O1 and O2. Return one row per document with reference, colour, batch, literal match notation, declared quantity, status and source quotation; write ‘not supplied’ for missing information. Compare each offer separately with E1 and F0. Preserve leading zeros, digit order, separators and units. List differences and draft specific questions. Do not calculate rolls, waste or cuts; do not infer equivalence from appearance or a shared batch; do not translate or interpret technical notation. Do not choose a supplier, confirm availability, reserve, purchase or authorise hanging. Return only a draft for human review.”
Check every code and sentence against the fictional sources. If the assistant turns 70 into 07, swaps B018 and B081, omits match type or treats two offered rolls as two reserved rolls, record the error and correct the draft before using it. For exact codes, comparing fields in a spreadsheet may be sufficient; the experiment concerns organising messages and drafting clarifications.
A correction arrives: close only the issue it clarifies
Second fictional stage: the supplier sends C1, linked only to O1: “We correct our match transcription: it should read salteado 64/32 cm. The offered batch remains B081. Nothing is reserved.” Add C1 to the exercise and request a new list of open issues, retaining O1 in the history.
The manual reference updates O1’s declared match to “salteado 64/32 cm”, citing C1. It should no longer ask whether O1 is straight or drop match as though no answer had arrived. Requested batch B018 versus offered B081 remains unresolved, and there is no reservation. C1 does not correct O2’s colour 70 or its missing availability: it does not apply to that alternative.
This document update does not establish what the labels on delivered rolls will say. The professional must check the actual material against the manufacturer’s documentation and resolve discrepancies before proceeding. Material selection, calculations, wall preparation and hanging are outside this pilot.
A first pilot you can assess without connecting business systems
Start with this invented case and a copy with O1’s batch removed. In that variant, the response should request the missing field rather than reconstruct B081 from the earlier version. Then try adding C1 to the original case: check that only the issue it clarifies changes. These are proposed tests, not completed trials.
Prepare your manual reference first. Compare the complete spreadsheet and assistant processes: preparing inputs, reading the response, checking originals and correcting it. Neatly arranged text alone is insufficient. If the table already solves the problem, you can keep it without adding AI.
- Record altered codes, invented fields, omitted discrepancies and mixed offers.
- Count repeated questions after clarification and issues closed without a source resolving them.
- Record preparation, checking and correction time against the manual procedure, without claiming unmeasured savings.
- Agree with the responsible person when a draft must be discarded. Keep purchasing, reservations and technical acceptance under their review.
When to consider a custom integration
A manual trial involves copying fictional documents and reviewing a response without effects on other systems. A connected automation would need to retain documents and versions, link each clarification to its offer and record what a person approved. First establish which exports and permissions actually exist; do not assume compatibility with your quoting software or supplier.
If that document management is the recurring problem, Adaris Tech can assess a bounded custom software, CRM or integration project case by case: for example, an internal comparison screen with sources and review by the responsible person. Scope, access, retention, error recovery and permitted actions would need defining before connection. This is a proposal to assess, not an existing proprietary wallpapering tool.
