Avoid double bookings across your website and CRM

Two customers book the same slot: define availability, shared resources, rescheduling and confirmations before connecting your website and business calendar.

Two customers arrive for the same appointment

Fictional example: you confirm a repair over the phone for ten o'clock. While you write it down, someone books the same time online. Both receive confirmation, but only one workstation is available. The problem starts when each channel confirms independently without checking shared availability.

First check whether your existing booking tool can combine online and counter bookings. Configuring it properly may be enough. Consider integration when an important part of the process remains disconnected.

A slot involves more than a start time

Define the resources being reserved: a professional, room, machine or combination. A fifteen-minute visit and a one-hour service occupy different amounts of time. Include preparation, cleaning or travel where needed.

Agree which calendar decides availability. The CRM can hold customer history while another application manages bookings. The systems can remain separate if confirmation follows a shared rule.

  • Service duration, including buffers between appointments.
  • Required staff and shared resources.
  • Opening hours, breaks and unavailable dates.
  • Time zone and how customers see it.

A request is different from a confirmed booking

A submitted form can create a request awaiting review. If staff confirm manually, say so in the website message. Automatic confirmation must check and reserve the resource as one operation so that two requests cannot claim the same slot.

A provisional hold needs an expiry and a clear confirmation condition. Repeated delivery of the same website request should not create another booking: the integration needs to recognise requests it has already processed.

Reschedule without conflicting calendars

Check the new slot when moving an appointment, and decide what happens to the original if the change fails. Define who can cancel, how resources are released and what staff see while a change is pending.

On connection failure, retain the request and make the error visible to the person responsible. Customers should not receive confirmation before the booking system accepts the reservation. Email or messaging reminders require separate decisions about channels, permissions, costs and replies.

Checks to agree before accepting delivery

These checks turn a general request into a verifiable project scope.

  • Two customers try to reserve the last slot and only one receives confirmation.
  • Submitting the same request again does not create a duplicate.
  • A booking reserves every required resource for the agreed duration.
  • Cancellation releases the correct slot and preserves history.
  • Failed rescheduling does not silently remove a valid appointment.
  • Connection failures leave pending requests visible.
  • Authorised staff can find bookings and correct mistakes.

Start with one service and one calendar

A first project can connect one service's booking form to a calendar and pass its status to the CRM. Agree fields, statuses, incident ownership and acceptance checks. Deposits, multiple locations, messaging and migration expand the scope and are quoted as needed.
